PROCEDURE FOR DISCARDING UNWANTED LIBRARY ITEMS

TECHNICAL COLLEGE SYSTEM OF GEORGIA

 

 

The procedures for discarding items in the library collection are as follows:

 

• Determine if the item belongs to the college or the Foundation

• If the item belongs to the Foundation, you may discard the item as you wish, but for audit purposes, submit documentation to the VPAA

• If the item belongs to the college, you must surplus the item following DOAS regulations, which include:

o Fill out the DOAS transfer form

o Obtain transfer number from DOAS

o Submit forms to VPAA to remove from inventory

 

The procedures for donated items:

 

• Any item donated to the college becomes part of the library collection and must follow the rules listed above.

 

For items that are lost, stolen or falling apart:

• Report the items to your VPAA for affidavit of destruction

1. Delete item from the catalog

2. List item on weeding file for fiscal year

3. Delete item from OCLC

4. Mark out ownership markings

5. Rip out title page

6. Box up

7. Follow above TCSG procedure for disposal
